Job description
Responsibilities
1. Serve as the point person for office manager duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping
2. Schedule meetings and appointments
3. Organize the office layout and order stationery and equipment
4. Maintain the office condition and arrange necessary repairs
5. Partner with HR to update and maintain office policies as necessary
6. Organize office operations and procedures
7. Coordinate with IT department on all office equipment
8. Ensure that all items are invoiced and paid on time
9. Manage contract and price negotiations with office vendors, service providers and office lease
10. Manage office G&A budget, ensure accurate and timely reporting
11. Provide general support to visitors
12. Assist in the onboarding process for new hires
13. Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
14. Liaise with facility management vendors, including cleaning, catering and security services
15. Plan in-house or off-site activities, like parties, celebrations and conferences
Skills you’ll need to have:
excellent organisational and time-management skills
knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other commonly used office packages
strong IT and typing skills
the ability to prioritise tasks and work under pressure
good teamworking skills and the confidence to lead and motivate a team
the ability to manage your workload and supervise others concurrently
excellent interpersonal, oral and written communication skills, with the ability to converse at senior and board level
negotiation and relationship-building skills
attention to detail
flexibility and adaptability to changing workloads
a problem-solving approach to work
project management skills
a familiarity with legislation in the areas of employment, equality and diversity, and data protection – this is useful, but not essential.
Work experience
Competition varies between employment sectors, but office manager positions usually attract many applications. Relevant office experience is vital. Opportunities are available through recruitment agencies or junior administrative posts.
It’s also helpful to get experience that shows good teamworking and management skills. Taking on an extracurricular project or managing a team of volunteers is a good way of developing these skills, particularly if you haven’t had the opportunity to apply them in a work environment.
